Job Title: Sales Department Coordinator

Job Summary:
Ensure Sales Department is on track and organized. Handles ‘behind the scenes’ administration to support the Sales Department
Job Requirements:
- Knowledge and experience with sales of Harley-Davidson and competing brands along with other products sold by the dealership, or the demonstrated ability to quickly learn them.
- Strong attention to detail, accuracy is imperative
- Excellent organizational, interpersonal and customer service skills
- Ability to perform several tasks concurrently with ease and professionalism
- Must be dependable, responsible, self-managed and follow through with minimum direction
- Must demonstrate sound judgment and ability to prioritize
- Work well with others, be an effective team member.
- Proficient with MS Word and Excel, familiar with a professional office environment and equipment
Job Responsibilities:
- Soft load sales deals in Lightspeed EVO for the desk manager, ensuring information is entered correctly
- Submit credit applications to the appropriate bank(s)
- Call and obtain payoff quotes for trade-ins
- Call and obtain ESP and GAP cancellation quotes for trade-ins
- Keep the desk log (Google Docs) updated throughout the day
- Update the ‘Hot Desk’ (Google Docs) to keep follow-ups organized
- Update the “second chance finance” log and send out at the end of every night
- Ensure all paperwork is in the sales folder before the folder get to F&I, including all stipulations are clear
- Update the trade log (Google Docs) with bikes that have been taken in
- Communicate and coordinate all dealer trades (between 3 – 18 months)
- Transfer bikes, requests checks, get manual ready, and send BOS to other dealers for traders
- Keep a nightly log of salesperson activity (greets, sit downs, deliveries, calls, etc)
- Update the sales board for an easy glimpse at sales stats
- Mark all bikes as CRM sold in ELeads, set follow-ups
- Help SWR bikes
- Call customers when their license plate/registration arrives and notate in ELeads
- Mail out registration/file registration for physical pick up
- Update the sign-out sheet for dealer plates, as required by the MVD
- Make copies of all documents and paperwork needed for the Sales Department
- Keep sales department organized and customer-friendly
- Ensure dept has all needed supplies
- Distribute customer contact leads to sales employees
- Check voicemails of managers on their day off to ensure prompt responses
- Answer sales calls and distribute information
- Call job applicants and schedule interviews
- Follow up with job applicants if needed in regards to their application status
- Set up new hires in ELeads and give each one a tutorial
- Ensure new hires have working dial out codes, extensions, email addresses, HD Net
- Update time card corrections for Payroll
- Update spiffs, Visa Apps, Google reviews, Yelp reviews for Payroll bonus
- Submit IT tickets for department
- Add potential customers into ELeads
- Email sales promotions to customers, average 2000/month
- Email customers on their birthday
- Other duties, as assigned.

Physical Demands:
- Occasionally required to bend, stoop, crouch, reach, and lift up to 40 lbs.
- Occasionally requires the ability to balance and push a 600+ lb. motorcycle.
- Frequently works on a computer in a typical office environment.
Working Conditions:
- Is potentially exposed to battery acid, gasoline, chemical cleaning materials or other toxic materials commonly found in a motor vehicle service department.
- The noise level in the work environment is occasionally loud.
- Occasionally, exposed to exhaust fumes or other airborne particles.
- May be required to work odd, unusual or extended hours.
