Administrative Assistant (Part Time)

Summary Description
Assists Accounting/CFO, Human Resources, Dealer Principal and others by completing administrative tasks assigned.

Major Duties and Responsibilities
1. Administrative Assistant to Accounting & CFO
• Assists payroll, accounting clerks and other staff.
• Reviews and processes invoices, expense reports, other billing.
• Reconciles cash registers and petty cash.
• Opens and distributes mail daily. Distributes signed checks as required.
• Prepares garnishment checks and other checks per reports from payroll.
• Orders office supplies.
• Maintains clean efficient office facilities.
• Performs filing, copying, recording. Maintains an accurate easy to access filing system.
• Assists CFO in preparing documents for meetings and presentations.

2. Administrative Assistant to Human Resources
• Assists with recruitment process, including advertising, screening, and relevant candidate correspondence.
• Helps to coordinate the use of temporary employees.
• Assists with new employee orientations; administers pre-employment tests; conducts reference checks.
• Submits background checks and reviews drug screens.
• Assigns system access to new employees and removes system access for terminated employees.
• Prepares and organizes new employee files.
• Monitors performance appraisal process and on time completion.
• Follows up with employees in regards to clerical aspects of employment, such as completion of health forms, vacation requests, personnel changes, and others.

3. Administrative Assistant to Dealer Principal
• Manages a complex schedule for the Dealer Principal.
• Books and coordinates meetings, conference calls and travel arrangements.
• Takes meeting minutes, writes reports, prepares correspondence and prioritizes items that need attention.
• Assists with projects and presentations.
• Reconciles receipts for expense reports.

4. Performs other duties as assigned.

Education and Experience
• Associates Degree and at least 1-2 years of office management experience
• Experience and general knowledge of Bookkeeping and Human Resources
• Proficiency in MS Office (Word, Excel and Power Point) with excellent spreadsheet

Position Type/Expected Hours of Work
This is a nonexempt position which maybe part-time. Days and hours of work are Monday through Friday, day shift.

Travel
Some travel will be required to other dealerships (Sandusky, Cuyahoga Falls).
Work Environment
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, copiers, filing cabinets and fax machines.
Physical Demands
This role requires the ability to lift files, open filing cabinets and bend or stand on a stool as necessary.
