Summary Description
 
 

Assists the Controller with daily accounting requirements.
Assists the office personnel of the dealership by typing letters & other documents, filing, and answering telephones.

Major Duties and Responsibilities
 
 

1) Administration
 
  • Provide prompt, dependable, high quality, word processing to Controller, GM and other office personnel.
  • Provide high quality assistance to office personnel to ensure a smooth running and productive office environment.
  • Prepare letters reports, financial contracts and other correspondence.
  • Set-up and maintain an accurate easy to access filing system for all important documentation.
  • Order supplies for departments (business cards, name tags, copier, mail machine).
  • Fax product cancellations, as needed.
  • Make travel reservations, as requested.  Prepare per diem calculations
  • Maintain clean efficient office facilities.
2) Accounting
 
  • Prepare daily bank deposits by compiling and reconciling accounting reports and media from point of sale cash drawers with receipts accepted in currency, checks and credit cards.
  • Maintain vendor records and track outstanding obligations payable by due date so as to optimize cash flow and take full advantage of attractive vendor payment terms.
  • Examine and distribute vendor invoices and other payment requests to appropriate general ledger account classifications.
  • Issue checks in payment of merchandise purchases, supplies, services and customer accommodations.
  • Pay HD invoices twice a month
  • Match and process all Harley-Davidson invoices.
  • Complete Bank Reconciliations
  • Assist Controller with Month-End Reconciliations and Report Preparations
  • Maintain PPM spreadsheet
  • As assigned by Controller
3) Customer Service
 
  • Greet internal and external customers immediately, in a courteous and friendly manner.
  • Handle telephone transactions quickly, and courteously. Record messages or forward calls.
4) Other Duties

Qualifications & Job Requirements
 

  • Associate or Bachelor Accounting Degree
  • Must possess a positive attitude & show enthusiasm for the products we sell.
  • Must maintain a professional appearance & a neat, well organized work area.
 

 
Physical Demands
 
 

  • Frequently works on a computer or doing other “close vision” work.
