Summary Description

Monitors and increases department sales volume.Orders, compiles and maintains parts inventory and status information to expedite movement of material and parts between the service and sales areas.Supervises parts staff, provides prompt, dependable, high quality service to (internal & external) customers.Maintains a high degree of customer satisfaction, ensures that the parts department contributes a high level of gross & net profits.Maximizes productivity levels of parts staff and maintains clean, efficient facilities.

Major Duties and Responsibilities:

Parts Department Operations
– Ensure P&A personnel are well trained and available when needed.
– Ensures the needs of the service and sales departments are being met.
– Regulate seasonal promotions (i.e. holiday display themes, fashion shows, special events, etc.) and coordinate them with other departments.
– Review all stock orders to ensure a fast moving, balanced inventory of parts & accessories.
– Maintain sufficient quantities of stock to support demand and acceptable inventory turn ratio.
– Occasionally assist staff when needed.
– Supervise and maintain an accurate up-to-date inventory management & control system.
– Become familiar and efficient with all phases of the computer system required for service & parts management.
– Establish procedures for ordering, receiving, logging into inventory, displaying, and selling all merchandise.
– Ensure employees keep all merchandise and displays clean, well dusted, and appealing to customers.

Merchandise Purchases
– Purchase merchandise for resale by the dealership.
– Inspect, and appraise merchandise offered for sale to determine value and yield.
– Select and orders merchandise from showings by manufacturing representatives, or purchases merchandise on the open market for cash, basing selection on nature of dealership clientele and expected demand for specific stock.
– Coordinate all purchases with needs and expectations of P&A, Service, and Sales Managers.
– Review all stock orders to ensure a fast moving, balanced inventory of Parts & Accessories.
– Review monthly sales reports to project future inventory needs, maintain sufficient quantities of stock to support demand, and acceptable inventory turn ratio(s).
– Maintain minimum order quantities, monitor shipping cost, taking advantage of shipping discounts when applicable.

– Employ sound management practices to ensure P&A department contributes acceptable levels of gross & net profit.
– Maximize return on investment of parts inventory. –
Monitor and grow the volume of Parts & Accessories sales in an efficient manner.
– Maintain budgeted revenue and expense objectives.
– Develop advertising sales, and promotional campaigns for merchandise.Take care of all Business Promo’s as related to the department.
– Communicate regularly with the Harley-Davidson Motor Company regarding:
-PoliciesProduct Availability
– Product Style OptionsNew/Future Product line Studies
– Benchmark other retailers to determine “best practice” standards.
– Provide reports to Dealer Principal or General Manager, as requested.
– Develop monthly and annual objectives for the department in collaboration with Dealer Principal or General Manager.
– Attend training sessions to keep current with P&A merchandising & inventory control issues.
– Coordinate donations with General Manager for promotions/events.
– Finalize all employee parts and accessories purchases.
– Monitor wholesale accounts for all parts & accessories purchases.
– Complete closing responsibilities.

Customer Service 
Provide superior customer service to both internal (Service and Sales Departments) and external customers.
– Greet customers immediately, in a courteous and friendly manner.
– Handle telephone transactions quickly, and courteously.
– Use Easylink, Receive Link, and H-dnet system to track parts for customers.
– Estimate length of time to receive any back-ordered parts and clearly communicate it to customer.Avoid setting high customer expectation levels in situations where expectations are not likely to be met.
– Handle customer complaints reasonably, showing empathy and a positive attitude, and demonstrate our commitment to “Make Things Right.”

Plan and execute “exceptional” promotions to bring both “new and existing” customers into the dealership on a regular basis.
– Coordinate promotions with other departments to maximize return on promotions spending.

Other Duties – Assigned   

Supervisory Responsibilities:

– Establish departmental work schedule, balancing the workloads of all employees. 
– Establish job assignments and sales quotas for all P&A employees within their skill level.
– Set policies and procedures for P&A department.
–  Manage employee performance (evaluate and council).
– Assist Dealer Principal and General Manager with recruiting, interviewing, hiring, and firing employees.
– Maintain records of all employee performance reviews.
– Provide training for all P&A employees (seminars; workshops; P&A sales, inventory mgmt. POS, etc.)
– Point out any sales, specials, or new merchandise to staff.
– Conduct informal department meetings.


– Treat all employees and customers fairly, courteously, and with dignity.
– Model superior customer service behavior for all P&A personnel by maintaining positive relationships with customers, employees, and Dealer Principal(s).
– Be prompt and available for flexible scheduling.
– Be honest and fair in all business dealings.
– Demonstrate an interest in growing the P&A business.

Qualifications, Certificates, Licenses, Registrations:

– Five years progressive experience with retail sales and inventory management.
– Knowledge and experience with servicing of Harley-Davidson motorcycles, and other products sold by the dealership, or the demonstrated ability to quickly learn them.
– Experience with Point-of-Sale and Parts & Service management computer software or the ability to quickly learn due to general knowledge & experience with computers.
– Bachelor’s degree (B.A.) from a four-year college or university; or one or two years related experience and/or training; or equivalent combination of education and experience.
– Valid Arizona driver’s license.
– PACE (Parts Accessories Clothing Expert).

Physical Demands:

– The noise level in the work environment is occasionally loud.
– Occasionally required to bend, stoop, crouch, reach, and lift 40 lb. of material.
– Occasionally requires the ability to balance and push an 800+ lb. motorcycle.

Working Conditions:

– Is potentially exposed to battery acid, gasoline, chemical cleaning materials or other toxic materials commonly found in a motor vehicle service department.
– Occasionally, exposed to exhaust fumes or other airborne particles.
– Majority of work is conducted indoors.

In the past 48 years, the population in the Phoenix metro area has exploded to over 4 million people. Although five other dealerships dot the landscape, Buddy Stubbs remains the only Harley-Davidson dealer within the City of Phoenix. Our store, originally located on McDowell Road, moved to 13401 N Cave Creek Road in 1985 to better serve our customers. In March of 2005 we relocated into our current 47,000+ sq ft dealership at 13850 N Cave Creek Road (1.5 miles north of Cactus on the West side of Cave Creek Road).
